Privacy policy

Who we are

CIWEC Hospital Pvt. Ltd. (“CIWEC”, “we”) operates CIWEC Hospital and Travel Medicine Center in Kathmandu and Pokhara, Nepal, and this website. This policy explains what personal information we collect, why, and how we protect it.

We handle personal information in line with the laws of Nepal, including the Individual Privacy Act, 2075 (2018).

What we collect

When you contact us, book an appointment or subscribe to our newsletter, we collect the details you give us — such as your name, email address, phone number, age, sex, where you are staying and the reason for your visit.

When you are a patient, we also keep medical records: your history, examinations, test results, diagnoses, treatment and billing. If you use travel insurance or an assistance company, we keep records of our communication with them about your care.

Our website may collect basic technical information, such as your browser type and the pages you visit, to keep the site working and understand how it is used.

How we use it

We use your information to provide and coordinate your care; to arrange appointments, transport and evacuations; to process payment and insurance claims; to contact you about your care; and, if you have subscribed, to send our newsletter.

We may use anonymized, non-identifiable information for clinical audit and medical research. Any research that could identify you is carried out only with appropriate ethical approval and, where required, your consent.

Medical confidentiality

Your medical information is confidential. Only the doctors, nurses and staff involved in your care, and administrative staff who need it for billing or insurance, can access it.

When we share information

We share your information only when it is needed for your care or required by law. This may include: your insurer or assistance company, to arrange guarantees of payment, evacuation or repatriation; other hospitals, laboratories or specialists involved in your care; your embassy or next of kin in an emergency, where you cannot consent yourself; and authorities, where the law requires it.

We do not sell your personal information, and we do not share it for marketing.

Newsletter and website forms

If you subscribe to our newsletter, we use your email address only to send it. Every newsletter includes a link to unsubscribe, or you can email us to be removed.

Appointment requests made through this website are sent to our reception team, who will contact you to confirm. Please do not use website forms for emergencies.

Cookies

This website uses only the cookies needed for it to work and, if enabled, privacy-friendly analytics to understand which pages are useful. You can block cookies in your browser settings.

How long we keep it

We keep medical records for as long as Nepali law and good medical practice require. We keep newsletter subscriptions until you unsubscribe, and appointment requests for as long as needed to manage your booking.

Your rights

You can ask to see or receive a copy of the personal and medical information we hold about you, ask us to correct anything that is wrong, and withdraw consent for optional uses such as the newsletter. To make a request, contact us using the details below.

Security

We protect your information with physical, technical and administrative safeguards, and we limit access to the people who need it.
